Workflow overview

Share assets to your phone and drop files into Beav

Pick up individual assets by QR code and drag computer files into the current space's asset folders.

Asset sharing and updated file drop support require Beav desktop 2.8.12 or later. Desktop file drops and iPhone and Android downloads still need device verification.

Upload media from your phone

Beav desktop 2.8.13 and later shows this entry in writable local spaces in both development and production builds. Older installations need updating.

In a writable local space, click Phone Upload at the top of the Asset Library, check the Wi-Fi and space, and scan the QR code. Confirm first-time pairing on the computer; an already paired browser can enter directly. This phone page accepts images, videos, and audio files. The similarly named Knowledge Base entry accepts content URLs.

Select up to 20 files at a time, each no larger than 1 GB. Progress is shown per file. Originals are saved to the displayed space’s asset library root, regardless of the asset subfolder open on the computer. Files are not transcoded, and name conflicts create another copy. HEIC/HEIF originals can be stored; built-in preview depends on format support. Keep the computer running and the phone page open. Media uploads do not use the link-capture API or require its API key.

If receipt is uncertain, use Check Upload Results before retrying with the original submission ID. Reopening the page may require selecting the same file again. Switching spaces does not send the old selection to the new space; check the destination and select the files again. Shared and remote spaces do not offer this entry.

Checked on October 6, 2026. The user confirmed phone uploading works; additional devices, connection recovery, and restart recovery have not been re-tested.

Share an asset to your phone

  1. Open Knowledge Base → Asset library on the computer.
  2. Hover over a local file or folder card and click Share to Phone to display a QR code.
  3. Connect both devices to the same Wi-Fi. A wired computer connection to the same local network also works.
  4. Scan with your phone camera and open the pickup page in the system browser to view or download the file.
The Share to phone dialog with the same Wi-Fi hint, file name, QR code, expiry time, and Copy link and Stop sharing buttons
The Share to phone dialog. Make sure your phone and computer are on the same Wi-Fi before you scan.

Every Share to Phone button uses a phone icon. In an asset image preview, the close, download, and phone-sharing buttons sit outside the image on its right, without covering it. This preview layout applies to desktop source containing the 2026-10-05 update; desktop visual verification is pending. Shared and remote spaces do not offer local phone sharing.

Images can be viewed and saved in their original form. Audio and video can be played or downloaded. PDFs, Office documents, text, and other files download in their original format. Folders and composite assets download as ZIP archives with their subfolders intact. Extract them in your phone's file manager. Folder sharing excludes hidden files and rejects symbolic links. Total file content is limited to 4 GB, with up to 2,000 folder entries and 32 levels; split larger selections.

In the independent Manuscripts tab in the right workspace, source documents and package cards also have a sharing button. A source document downloads as a document. A package includes public copy and declared publication images, using the existing 100 MB image limit. Internal records and private working files are excluded. Sharing does not export the entire manuscript library.

Expiry and ending a share

Links last 30 minutes. Anyone holding a link can download without phone-upload pairing, so use a trusted local network. Keep the computer awake and Beav running. Closing the QR dialog keeps pickup available; End Sharing, leaving the corresponding asset view, or exiting Beav ends it. Editing the original file does not change an existing snapshot; share again for an updated copy.

You can also use Copy Link within the same local network. Use Regenerate after expiry. Shared and remote spaces do not currently offer local asset QR sharing.

Drop computer files into the asset library

  1. Open the destination space's Asset library root or a folder you want to save into.
  2. Select one or more files in Finder or Windows File Explorer.
  3. Drop them onto the asset content area, wait for import, and check the resulting cards.

Ordinary folders import copies directly, keeping the computer's original files. Name collisions are renamed automatically rather than overwriting assets. Images, video, audio, PDFs, text, Office documents, and other ordinary files are supported. Development builds with the 2026-10-05 file-management update preserve dropped folder hierarchies and empty folders. When scan limits are exceeded, split the selection instead of importing a silently truncated subset.

Product and character collections keep their naming or organizing steps. Manuscripts open from Account profile → 稿件 (Manuscripts) or their independent right-workspace tab and do not appear in the asset library. Remote spaces continue to use their existing Import button. Preparation and commit are bound to the original space and folder; after switching destinations, drop the files again.

If something fails

  • No response to a drop: drop onto the asset content area, close an existing naming dialog, and wait for the current import to finish.
  • Unreadable original: restore the file location or permissions, then try again. Split deep or large directory selections.
  • Sharing cannot start: wait for saving to finish, remove symbolic links, or split the folder by size or entry count.
  • The pickup page will not open: keep the computer awake and check local network reachability, guest Wi-Fi isolation, VPNs, and firewalls. Allow Windows access only on trusted private networks.
  • Downloads fail inside WeChat: use the system browser. Find documents and ZIP files in the phone's file manager. Saving to Photos depends on the browser and operating system.

Revoking a browser's phone-upload pairing does not end an asset pickup link. Use End Sharing in the asset dialog to stop pickup.
